Is Anyone Elses Inbox a Complete Disaster?

There was a time when one might be too embarrassed to publish a cavalier statement like the one above. Today, however, it’s almost a badge of honor.

The subtext of Chenell’s comment might be construed as “Should we really take email seriously? (Who can keep up with it?)”, and I suppose that depends on whether you take the people, who take the time and trouble to write you, seriously.

Let me put this in some context and dispel the myth that keeping up with email is some quixotic quest when you get above a certain level of volume.

There is a famous Danish expression that goes something like this: “There is no bad weather, just poor clothing.” It’s the same with managing your email: There aren’t too many emails flying in your inbox, just insufficient tools to manage them.

And just to be clear, I am not speaking only about those who struggle, but also those who believe they are quite productive in Outlook, who might say:

“I do fine...

Why Outlook Needs Fixing – Even If You Mainly Use Teams

The disparity between managing email and managing MS Teams often goes unnoticed, yet companies are paying a hefty price for overlooking it.

Consider Teams as your virtual neighborhood and Outlook as the broader world encompassing your neighborhood. While you can invite external parties to your Teams neighborhood, the invitation process is selective. In contrast, Outlook operates on a “come one, come all” basis; anyone with your email address can join the party. Despite spam protection acting as a gated complex, it’s challenging to distinguish between neighbors, well-meaning visitors, and manipulative marketers seeking your attention.

In general, most communications in Teams are internal, which doesn’t diminish their importance but underscores a difference in focus compared to customer interactions, particularly in sales and customer service.

Now, envision assigning a monetary value to each email in your inbox. While some emails enhance...

Decoding Information Overload. The Role of Influence and Intention

Understanding information overload requires recognizing its core purpose: to influence ourselves and others. Central to this is the concept that influence is a key component of happiness. This drive for influence underpins technology too. Take Edison’s light bulb; its aim wasn’t just to light up a room, but to change human behavior by extending productive hours into the night.

The volume of information is irrelevant. Feeling overwhelmed by information isn’t about its abundance, but rather our approach to attracting, managing, and utilizing it to influence others. Whether we have access to vast amounts of data or a limited amount, it’s the way we engage with this information that dictates our sense of overload.

Consider profiling and categorization attempts, like Amazon’s recommendation algorithm. It can seem one-dimensional, often missing the nuances of our interests. For instance, my purchase history of business books and kitchen utensils leads to a...

Why Lean Leaders Are Loath to Apply Lean Best Practices to Email Management And How We Can

There could be several reasons why lean leaders might be hesitant to upgrade email management practices. Here are a few possible factors:

  1. Lack of awareness: Lean leaders may not be aware of the available options for upgrading email management practices. They may be accustomed to traditional email systems and not realize the potential benefits of adopting new tools or approaches.

  2. Time and resource constraints: Implementing changes to email management practices requires time and resources. Lean leaders may be focused on other improvement initiatives or prioritizing other areas for optimization within their organizations. They might perceive email management as a lower priority or not worth the investment of time and resources.

  3. Resistance to change: Change can be challenging for individuals and organizations. Lean leaders may face resistance from employees who are comfortable with existing email practices or reluctant to learn new tools and processes. Overcoming resistance to change...

Enhance Your Sales Pipeline with Expert Insights from ChatGPT

I reached out to a supplier recently to respectfully decline their offer. In the spirit of professionalism, I provided a rationale for our decision and left the door open for future opportunities. The reply I received was predictably intense—Eric (a pseudonym) had already displayed a forceful sales approach during our initial call. He was polished and aggressive, and after our conversation, when I commended his salesmanship, he quipped, “I haven’t sold you anything yet.” This gives you a flavor of his style.

Upon reading his charged response, I reflected on how I prefer to handle such situations. I believe in not souring a potential relationship due to a single negative interaction. I maintain this stance for two key reasons:

  1. Negativity offers no value and gains no ground, especially with potential partners.
  2. Valuable insights often emerge from customer feedback, once the initial disappointment settles.

Lately, I’ve been leveraging ChatGPT to fine-tune...

MS Co-Pilot To The Rescue—Not Quite. Why LeanMail is the Real Solution for Email Management.

Co-Pilot's Limitations for Knowledge Workers

Microsoft's Co-Pilot has garnered attention for its potential applications in various industries. However, it's important to understand that the tool's capabilities may not extend effectively into the realm of email management for knowledge workers – everyone sitting in front of computers all day.

The Intricacies of Email for Knowledge Workers

For knowledge workers, email is more than just a communication tool; it's a hub for decision-making, collaboration, and prioritization. The emails they receive are not standardized and can range from urgent project updates to complex client communications. This variability makes a one-size-fits-all solution like Co-Pilot less effective for managing the multifaceted nature of email in this context.

Priority and Urgency: Where Co-Pilot Misses the Mark

Co-Pilot assists but doesn't prioritize. It won't tell you which client email is a red-alert and which internal memo can wait. In the realm of...

Cleaning Your Inbox is a Waste of Time and a Recipe for Disaster: Strategies for Efficient Email Management.

Cleaning out an inbox every now and then can be considered a bad practice for several reasons:

It can be time-consuming: Setting aside a specific time to clean out your inbox can take a lot of time and effort, especially if you have many messages to go through. This can be especially challenging if you’re trying to balance multiple tasks and responsibilities.

It can lead to missed opportunities: If you’re only cleaning out your inbox infrequently, it’s possible that you’ll miss important messages or opportunities. For example, if you’re only checking your inbox once a week, you may miss a deadline for a job application or a sale that ends in a day.

It can lead to unnecessary stress: If your inbox is constantly overflowing with messages, it can be stressful and overwhelming. Waiting until you have time to clean it out can make the problem even worse, leading to additional stress and anxiety.

Instead, it is better to have a system in place that allows you...
